Greetings, members! Over the past six months, you’ve heard much about the Board of Directors’ efforts to revise the AECT Bylaws. With the Board’s recent vote of approval, the Organization & Bylaws Committee (O&BC) is pleased to provide this brief report.
- In July 2021, the AECT Executive Committee turned to the AECT Manual of Association Policies & Other Helpful Information (July 2019) to help them with how to govern the association in the wake of the Executive Director’s retirement.
- The Executive Committee quickly learned that the By-Laws in the manual (March 2016) did not reflect current practice, contained conflicting clauses, and did not comply with recent changes to Indiana Code.
- In September 2021, then President-Elect Ali Carr-Chellman confirmed all committee appointments, revitalizing the O&BC and charging the committee with a review and recommended revisions to the bylaws, policies, and procedures.
- The O&BC met immediately to begin their work, seeking input from the Executive Committee on specific issues that arose, consulting with other AECT leaders, cross-checking Indiana Code, and referencing resources for non-profit operations, including BoardSource, Foundation Group, and similar organizations.
- Through regular monthly meetings and individual task assignments between meetings, the O&BC provided a first draft of recommended revisions in February 2022.
- The O&BC opened up review and commenting on the draft to the AECT Board of Directors, division leaders, and all members through a web-based form and discussion guide. As the committee received comments and questions, project leads provided clarifications, investigated issues, and recommended additional changes.
- The commenting period remained open through May 2022, at which time the O&BC forwarded the draft to AECT legal counsel for their review. The lawyer asked two clarifying questions and approved the draft as reflecting current legal requirements. The O&BC made this draft available for one final round of comments.
- At the Summer Leadership Board Meeting in July 2022, the Board of Directors successfully resolved all lingering comments and voted to approve the draft of revisions for adoption by the membership.
What’s Next?
First, the O&BC will be hosting two virtual sessions during the 2022 Convention for members. The first session will explain bylaws in general, what bylaws mean for a non-profit organization, and the contract/legal language encountered in bylaws. The second session will highlight specific differences between the two versions and why the O&BC recommended a change. Take advantage of the convention Personal Schedule to add these special Organization & Bylaws Committee sessions to your AECT22 must-attend events. Both sessions will be virtual to encourage engagement.

To complete the process, during the winter AECT Leadership Election, an additional ballot item will be presented to the members to vote to ratify and adopt the new bylaws. Should the members approve the new bylaws, they will be adopted at the next regular meeting of the Board of Directors. Following that adoption, the Board of Directors, all AECT Committees and Divisions will review all policies and procedures to improve the operations of the organization.

JTILT SPECIAL ISSUE ON ACCESSIBILITY
The Journal of Technology-Integrated Lessons and Teaching is seeking lessons, activities, and other instructional materials used by educators in P-16+ contexts (and their international equivalents) regarding accessibility. Initial manuscripts are due January 8, 2023 with an expected publication date of June 2023. Visit the journal’s website to read the full announcement.
TIPS AND RESOURCES – MAKING ZOOM MEETINGS ACCESSIBLE FOR ALL PARTICIPANTS
Below is a list of tips and resources to help make Zoom meetings as accessible as possible for all participants, including participants with disabilities. Most functions in Zoom are user-friendly and accessible to people who use assistive technology. There are, however, a few exceptions and best practices.
- Ensure everyone can participate. The polling feature is accessible to people who use assistive technology. Be sure to notify participants verbally when you are launching a poll, provide enough time for participation, and inform participants when the poll will close.
- Avoid side conversations in chat and share links from chat via email or another channel.
- When sharing a screen, verbalize what is on a screen and share materials ahead of the meeting.
- Reduce background noise by muting participants that are not speaking.
- Enable automatic captioning by following this tutorial. (Remember that the accuracy of automatic captions will vary and should not replace human-generated captions or interpreters when requested.)
